The hiring client is a Global MNC who are looking for a Workplace & Facilities Coordinator to support office operations in their Taiwan Offices.
THIS IS A CONTRACT POSITION WITH CHANCES OF EXTENSION OR CONVERSION DEPENDING ON PERFORMANCE & BUSINESS NEEDS.
Responsibilities:
Facility Management:
- Manage all facilities vendors and oversee Preventative Maintenance Programs.
- Conduct regular facilities inspections and audits.
- Serve as the liaison with building management/business center operators for operations and maintenance.
Employee Support:
- Provide customer service to employees, vendors, candidates, and guests.
- Coordinate and set up special events and food & beverage planning in the workplace.
- Respond promptly to employee requests and emergencies to minimize workplace downtime.
Administrative Duties:
- Support business travelers and manage logistics, including import/export processes.
- Manage seating and space planning, ensuring efficient utilization.
- Monitor workplace quality standards throughout the day and ensure a seamless employee experience.
- Handle inventory management, shipping, and supplier onboarding.
- Coordinate invoice validation and ensure accuracy in financial operations, comparing costs with industry benchmarks.
MINIMUM Qualifications:
- Strong service orientation, with superior organizational skills and attention to detail.
- Proficiency in GSuite (Gmail, Google Calendar, Google Meet, Google Docs, Google Groups) and MS Word/Excel.
- Fluency in English and Mandarin (or other local languages).
- Discretion in handling sensitive and confidential information.
- Ability to prioritize tasks effectively and adapt to changing circumstances.
- Broad understanding of workplace operations, technical processes, and facilities management.
PREFERRED ADDITIONAL Qualifications:
- Experience in facilities management, event coordination, or related fields.
- Familiarity with logistics and inventory management systems.
- Experience in a multinational or cross-cultural workplace environment.
