Deliver onsite employee events from initial planning through live execution and post-event review. You will coordinate vendors and internal service teams, manage event logistics, and support the procurement and budget processes behind each activation.
This is a 12-month contract based in Singapore, with potential extension or conversion depending on business needs.
Responsibilities
- Coordinate onsite events and employee activations from planning through post-event completion.
- Manage venue setup, audiovisual requirements, catering, signage, facilities support and event-day operations.
- Work with security, workplace, safety and other internal teams to ensure events are delivered properly.
- Coordinate agencies, suppliers and other external partners against agreed timelines and requirements.
- Prepare supplier briefs, request quotations and monitor delivery quality.
- Ensure vendors complete the required onboarding, safety, permit and risk-assessment processes.
- Maintain the local events calendar and coordinate regional event programmes when required.
- Collect attendance data and feedback, then document lessons and recommended improvements.
- Maintain event plans, run-of-show templates, process guides and other reusable documents.
- Raise purchase requisitions and purchase orders, resolve supplier queries and monitor payment progress.
- Track event budgets, reconcile supplier spending and maintain accurate financial documentation.
Requirements
- At least 4 years of experience in event operations, event production or a similar role within a corporate or agency environment.
- Proven experience managing events from planning through onsite execution and completion.
- Experience coordinating several events, suppliers and deadlines at the same time.
- Hands-on knowledge of procurement processes, including vendor onboarding, purchase requisitions and purchase orders.
- Experience tracking event budgets and reconciling supplier spending.
- Strong supplier-management and cross-functional coordination skills.
- Able to remain organized and responsive when priorities change close to an event.
- Strong written, verbal and interpersonal communication skills.
- Bachelor’s degree in Events Management, Communications, Business or a related discipline.
- Experience within a large corporate or technology environment would be advantageous.
- Knowledge of event-management systems, attendee data collection or multi-site events would be useful.
- Graphic-design or content-creation experience for event communications would be beneficial.
